How to use this Invoice Generator
This tool helps UK sole traders and freelancers create professional invoices instantly. All information stays in your browser – nothing is saved or sent to our server.
Under UK law, an invoice from a sole trader must include at least: your name (or business name) and address, the client’s name and address, a description of the goods or services, the date, the amount charged, and (if you are VAT registered) your VAT number and a VAT breakdown. There is no single mandatory template – only required information. This generator includes all the essentials and lets you add optional payment instructions.
The default payment term is 30 days from the date of invoice, as specified by the Late Payment of Commercial Debts (Interest) Act 1998, unless you agree a different term in your contract. You can change the due date in the form above.
Once you’re happy with the preview, click “Print / Save as PDF” to open your browser’s print dialog. Choose “Save as PDF” (or similar) to download a clean PDF of the invoice. The print stylesheet hides the input area and site navigation so only the invoice appears on the printed page.
Please note: this is a generation tool, not a bookkeeping system. You are responsible for keeping track of invoice numbers and records. Always consult a qualified accountant for tax advice.
Frequently Asked Questions
Do I need to charge VAT?
You only need to charge VAT if you are VAT registered – either voluntarily or because your turnover exceeds the £90,000 threshold (2025/26). If you are not VAT registered, simply leave the “VAT registered?” toggle off; the invoice will not show a VAT line.
What information is legally required on an invoice?
For a sole trader, you must show your name (or business name), a full address where you can be contacted, a description of the goods/services, the date, the amount due, and – if VAT registered – your VAT number and a VAT breakdown. You do not need to include your company number (if you are a limited company, that is required instead of sole trader details).
Can I save my invoices in this tool?
No. This tool does not store any data – everything runs in your browser. When you close the page, the input is lost. We recommend printing or downloading a PDF of each invoice, then keeping your own records (e.g. in a spreadsheet or accounting software) of invoice numbers and amounts.
What if I need to invoice in a different currency?
This generator currently supports GBP (£) only. For multi-currency invoicing, consider using dedicated accounting software. Our tool is designed for UK freelancers invoicing in pounds sterling.
